Your information
Privacy Policy
Last updated: 11 October 2026. This policy explains, in plain English, what information Beyond Paperwork collects, why, and what you can ask us to do with it.
Who we are
Beyond Paperwork is the trading name of Vallessa Solo, a sole trader based in Harlow, Essex (CM18 6TP). We are registered with the Information Commissioner’s Office, registration number ZC229136. For anything in this policy, or to make a request, contact us at [email protected] or on +44 7492 903308.
What we collect
- Your name, address, phone number and email address
- Details of the person who has died or whose affairs we are helping with, and details of the organisations involved
- Documents you ask us to work from, such as statements, letters, bills and forms
- Notes of calls, letters and emails we make on your behalf
- Records of what we have done, what we have charged and what has been paid
Some of this may be sensitive information about health, or about a bereavement. We only collect it where it is genuinely needed to do the work you have asked for.
Why we use it, and our lawful basis
- To answer your enquiry and agree a quotation — because you have asked us to (legitimate interests, and steps towards a contract)
- To carry out the work you have instructed — because we have a contract with you
- To keep financial records — because the law requires it
- For any sensitive information, such as health details — with your explicit consent, which you can withdraw at any time
Who we share it with
We only contact an organisation on your behalf when you have asked us to, or when we have your permission to do so. That may include banks, pension providers, insurers, utilities, councils, the Department for Work and Pensions, and postal services. We do not sell your information, and we do not pass it to anyone for marketing. Where we use professional advisers, such as an accountant, they are bound by their own confidentiality obligations.
How long we keep it
We keep working records for six years after our work for you ends, so that we can answer any later question and meet our legal and insurance obligations. After that, records are securely destroyed. Enquiries that do not go ahead are deleted within twelve months.
Your rights
You can ask to see the information we hold about you, ask us to correct it, ask us to delete it where we do not have a legal reason to keep it, ask us to limit what we do with it, ask for a copy in a portable form, or object to how we are using it. You can also withdraw consent for sensitive information at any time. To make a request, contact us using the details above. We will respond within one month.
How to complain
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Cookies and this website
This website does not use cookies to track you, and we do not build advertising profiles. The form on our contact page does not store anything on our website: it opens in your own email programme so that you can see exactly what is being sent. Our hosting provider may keep standard security logs, including IP addresses, which we do not use to identify individuals.
Changes to this policy
If we change how we handle information, we will update this page and change the date at the top.
This policy describes how Beyond Paperwork handles personal information. It is not legal advice.
